Learn how to complete an approval step within a submission

By completing an approval step, you can approve, deny, or request changes to the work that has been completed on a submission thus far.


An approval step serves as an opportunity to review a submission and approve, deny, or request changes. It answers the question of whether that submission should advance to the next step in the workflow.

When opening an approval step, you will first see the name of who initiated this submission in the top left corner. You will also see a list of all of the workflow steps previously completed.

A file that has been generated by a step in the workflow will appear underneath that step's name. Click on that file name to open and review it.

While viewing the document, you have the option to Request Changes in the top right corner and download this file if needed.

To return to your approval step, click the "x" in the top right corner.

Once you've had a chance to review all that you need within this submission, you have three options:

Approve the submission

If a submission reaches the approval step and is approved, that submission advances to the next step in the workflow. To do this, click the purple Approve button in the top right corner.

Deny the submission

If a submission is denied, it stops the submission at that approval step and the workflow does not continue. Submissions that are denied will have a Canceled status in the All Submissions table. To do this, click the white Deny button in the top right corner. You will then be asked to provide a reason for denying this submission. Type in your reason and click the purple Deny button. The initiator will receive an email informing them of the denial and the reason for the denial.

Request changes to the submission

If a submission has changes requested, it will be returned to the person who completed the step assigned for revision. To do this, select the loopback arrow to the right of the step that needs to be changed.

You will then be asked to provide a reason for requesting changes and any further guidance on what needs to be changed. Type in your reason and click the purple Request Changes button. The completer will receive an email informing them of the requested changes and the reason that you provided, along with a link that will take them to the step that needs to be changed. This submission will now move backward in the workflow to the step you have selected. Once your completer makes your requested changes, the submission will follow all subsequent steps, including this approval step.
